The Role and Relationships:

Our Finance & Admin Manager reports directly to the CEO and is the operational backbone of the company, overseeing all day-to-day finance, administration, and HR coordination functions. They are accountable for maintaining accurate financials, executing all bookkeeping and payroll processes, managing internal controls, and ensuring the company operates smoothly, compliantly, and on time. They will work closely with the CEO, our external Accountant, and all internal team members to support budgeting, financial reporting, legal and compliance matters, administrative operations, and the technical systems that keep the organization running efficiently.

Key Accountabilities
Financial Management & Reporting
  • Provide ongoing strategic management of all accounting and finance functions.
  • Maintain accurate and timely financial records, including bank reconciliations, monthly financial statements, GST/income tax remittances, and expense reports.
  • Manage all A/P and A/R processes using Xero, Plooto, and Venn.
  • Oversee cash flow management, including monitoring cash position, moving funds between accounts when needed, and ensuring the company maintains adequate cash reserves for operational and strategic needs.
  • Prepare and maintain cash flow forecasts; proactively identify upcoming cash requirements or risks and flag them to the CEO.
  • Lead payroll administration, including system implementation, processing, and source deductions.
  • Create, maintain, manage, and analyze the company budget; review financial insights monthly with the Leadership Team.
  • Recommend process improvements to strengthen internal controls and ensure integrity of financial information.
  • Liaise with the external Accountant and provide full support for year-end processes for the corporation and its shareholders.
  • Support the CEO with legal and compliance matters as required.
Policies, Controls & Systems Management
  • Direct and maintain accounting policies, procedures, and internal controls.
  • Oversee the implementation, optimization, and maintenance of all financial systems and technology tools.
  • Evaluate and recommend system upgrades or enhancements to increase efficiency and accuracy across Finance & Admin functions.
Administration & Operational Support
  • Act as the primary support for all administrative and IT functions across the company.
  • Ensure that day-to-day operations run smoothly, efficiently, and on time.
  • Support coordination of company events at the direction of the CEO.
  • Serve as a key internal resource for questions, problem-solving, and operational guidance.
HR Coordination & People Operations
  • Act as the designated HR representative and primary liaison with the contracted HR company.
  • Manage employment and contractor agreements.
  • Coordinate all hiring and onboarding activities in partnership with the Hiring Manager.
  • Maintain accurate personnel records and support internal HR processes.
Collaboration & Cross-Functional Support
  • Work collaboratively with the CEO and internal team members to ensure alignment across Finance, Admin, HR, and operations.
  • Provide needed documentation, reporting, and clarity to support leadership decision-making.
  • Support team members with resourceful problem-solving and operational assistance without delegating inappropriate tasks (“no monkey-back shifting”).
Growth, Innovation & Continuous Improvement
  • Identify opportunities to enhance financial operations, administrative systems, and internal workflows.
  • Lead improvements that contribute to increased accuracy, efficiency, and operational structure.
  • Maintain a high level of technological proficiency and resourcefulness to improve processes and solve problems independently.
EOS
  • Contribute to the strategic growth of the company within the EOS system (Rocks).
  • Attend all weekly meetings, as well as any required company on-sites.

Key Measurables (Weekly Performance KPIs):

The Finance & Admin Manager is accountable for consistently meeting the following EOS measurables:

  • Overdue Invoices: Maintained at or below agreed targets
  • Accounts Reconciled: Yes (all bank and credit card accounts reconciled weekly)
  • Error-Free Reporting: Yes (no material errors in weekly and monthly reporting)

These measurables are reviewed weekly as part of the EOS scorecard.

Key Requirements
Must Haves
  • Certified Bookkeeper designation (or higher), with solid knowledge of accrual-based accounting
  • Based in Canada and available during local time 9 am - 5 pm
  • Experience with accounts receivable, accounts payable, and payroll
  • Knowledge of financial reporting, reconciliations, and remittances
  • Strong administrative and organizational skills
  • Tech-savvy with comfort in accounting and productivity tools
  • In-depth knowledge and experience with Asana (or similar project management tool)
  • Excellent communication skills, both written and verbal
  • Ability to work independently and collaboratively in a remote environment
  • A strategic thinker with the ability and willingness to contribute to financial strategy and process improvement, not just execution
Nice To Haves
  • Experience in a marketing agency or small business environment
  • Experience working with a start-up or smaller company wearing many hats
  • Experience with Xero, PayWorks, Plooto, Fathom, Clockify, Venn
  • Previous HR administration experience

We’re not looking for a heads-down bookkeeper who hides behind their computer.
We’re looking for a trusted operator — someone who’s resourceful, proactive, collaborative, and happy to roll up their sleeves to keep the business running smoothly.

The Compensation & Perks:
  • Base Salary: $70,000-$80,000
