Well, things sure have picked up here at Marr Media Group and we’re in need of more help! We’re currently seeking a passionate and competent Business Administrator to join our dream team.

Location: Anywhere in North America

The right person for this role will fit right into our team like the missing piece we never knew we always needed. He/she will need to be incredibly organized (love list making, check things off, calendars/planning, data and analytics… all that fun stuff!), professional (you’ll be in contact with our clients during critical activities such as onboarding and invoicing), a self-starter (I don’t micromanage--not my style, so you’ll have to manage your to do list and spot opportunities to step up and #MakeShitHappen when things need doing) and analytical (you’ll be managing our budgets, our company finances, and social media analytics). You have incredible attention to detail and always spot when things are out of place or when something needs doing. You take the initiative to find ways to improve things--processes, etc. You are great at creating and managing processes, and never procrastinate. 

 

This position will be great if you are: 

  • an avid social media user who understands the landscape (you don’t have to be an expert, but you need to know your way around) 

  • incredibly organized and love all things administrative (lists, paperwork, you name it!)

  • value the flexibility this job offers (work schedule has some weekly meetings but no set hours)

RESPONSIBILITIES

  • Social media engagement shifts (approximately 5-8 days a month “on call” managing client social accounts)

    • Check client accounts between 9am and 9pm at four intervals daily​

    • Respond to any questions, comments or complaints

    • Escalate to clients as required 

    • Share posts or stories that cannot be automatically published

    • Monitor the general email inbox for any sensitive requests from clients

  • Manage process for onboarding new clients 

    • Create, proofread, and distribute new contracts for signing 

    • Get access to social accounts, analytics, etc. 

  • Create and manage yearly and monthly business budget

    • Work with CEO to create reasonable yearly budget based on actuals from last year and anticipated expenses

    • Work with CEO to set revenue and profit targets 

    • Track finances monthly and report on targets vs. actuals

    • Assist with creating and executing a bonus program based on targets

  • Manage accounts payable and receivable using Xero​

    • Invoice clients monthly 

    • Collect and track all expenses

    • Follow up with clients or team where required to ensure payments are made in a timely manner 

    • Process payments to team 

  • Track and compile monthly analytics for all clients  ​​

  • Manage general email (responses, organization, etc.) as well as our accounting email 

  • Monitor email for PR opportunities daily and manage submissions

  • Communicate with clients regarding accounting-related matters 

  • Schedule team meetings every Tuesday (and possibly client meetings as required) 

  • Attend meetings and take meeting minutes (as required) 

  • Manage agendas and deliverables for team meetings 

  • Maintain address database for team, clients and partners 

  • Assist with creative shoots (video, photo, etc.) 

  • Assist with client work as required (researching hashtags, competitors, etc.) 

  • Order and manage merchandise 

  • Shipping and mail as required 

  • Booking travel arrangements 

  • Research and curate articles for clients

  • Assistance with curating images (you’ve got a pretty good eye for an Instagram aesthetic/photography)  

 

QUALIFICATIONS

 

  • Previous experience in an administrative role

  • Previous experience working with business budgets

  • Previous experience managing accounts payable/receivable for a small business 

  • Solid understanding of Google Analytics (hint: go take some free online courses!) 

  • Superior time management and organizational skills

  • The ability to multitask with ease

  • Excellent verbal and written communication skills

  • Diplomacy and tact

  • Discretion and confidentiality

  • Ability to receive constructive feedback

  • A self-starter willing to be proactive and take initiative

  • Ability to meet deadlines and remain calm under pressure

  • Strong follow-up skills

  • Proficiency in technology and social media

 

Approximately 25-30 hours/week required. This will flex somewhat as our business ebbs and flows and even throughout the month. The first week of the month will always be the busiest. This position is considered a freelance contractor, so successful candidate will need to invoice Marr Media Group monthly for hours worked, and will be paid in full monthly. As a contractor, you’ll be responsible to claim this as income and and file taxes.
