EXECUTIVE ASSISTANT

Role:

The Executive Assistant reports directly to the Chief of Staff and supports all members of the Senior Leadership Team, most especially the CEO, Chief of Staff, and Director of Finance & Administration. The Executive Assistant filters and attends to the day-to-day functions that are a part of the executive team’s roles so they can focus on the high-level leadership and strategy functions. As this role will work with various executives, the successful candidate will have a background in many areas, including administration, human resources, finance, and business strategy. The Executive Assistant will attend and take minutes for all Leadership Meetings and must have a high level of discretion.

This is a remote position, however, preference will be given to candidates located in Vancouver or the Okanagan so that in-person work days with the CEO, Chief of Staff and Director of Finance & Administration are possible.

NOTE: This position has been created as the Director of Finance & Administration will be leaving on maternity leave, and as such, some of the critical responsibilities for the first 6-12 months will be executing financial and accounting functions of the company, including payroll, financial reporting, bookkeeping, and Accounts Payable. The successful candidate must have knowledge and experience in bookkeeping and/or finance.

Key Responsibilities:

  • Works closely with the CEO, Chief of Staff & Director of Finance & Administration

  • Provides support to all members of the Senior Leadership Team

  • Attends weekly L10 meetings and takes minutes

  • Manages the Senior Leadership Team's schedules

  • Drafts, reviews and send communications on behalf of the Senior Leadership Team

  • Organizes and prepares for meetings, including gathering documents and attending to the logistics of meetings

  • Manages the general email mailbox and direct emails accordingly, prioritizing and responding to emails as necessary

  • Coordinates any travel arrangements for the Leadership Team and/or Team Members

  • Maintains various records and documents for the Senior Leadership Team

  • Assists with research & development of business cases

  • Performs the “Month-Of Update” and associated tasks

  • Works with Chief of Staff for on-boarding/off-boarding and other projects as required

  • Other various administrative duties as needed
     

Finance (until the Director of Finance & Administration returns from maternity leave):

  • All bookkeeping duties (bank reconciliations, financial statements, GST/income tax remittances, expense reports) using our accounting software Xero

  • Payroll and source deductions (semi-monthly)

  • Completes management of A/P and A/R (Xero and Plooto)

  • Drafts and sends contracts for clients and team members (employment and ICA)

  • Liaison with Accountant

  • Provides support CEO/Chief of Staff with legal matters

  • Oversees/provides support for all end-of-year taxes for the corporation and its Shareholders

  • Runs monthly Budget Variance reports and report to the CEO with results

  • Acts as the primary support for all administrative functions within the company

 

Requirements & Qualifications:

  • Experience working as an Assistant: 2 years

  • Bookkeeping certification: Asset

  • Bookkeeping experience: 2 years

  • Experience with Xero: Asset

Here’s what you would be doing...

  • Manage client brands (and the clients themselves), executing across all social media channels (platforms, programs and campaigns).

  • Maintain a positive client relationship to ensure a long-lasting agency-client relationship.

  • Demonstrate ability to map out a comprehensive social media marketing plan.

  • Drive strategies that are proven by testing and metrics.

  • Develop relevant content topics to reach the company’s target customers.

  • Create, curate, and manage all published content (images, video and written).

  • Identify threats and opportunities in user-generated content surrounding the company. Report notable threats to appropriate management.

  • Develop and expand community and/or influencer outreach efforts.

  • Conduct or oversee design (ie: Facebook Timeline cover, profile pic, thumbnails, ads, landing pages, Twitter profile, Blog, etc.).

  • Design, create and manage promotions and social ad campaigns.

  • Analyze key metrics and tweak strategy as needed.

  • Analyze, review, and report on effectiveness of social media efforts overall in an effort to maximize results.

  • Monitor trends in social media tools, applications, channels, design and strategy.

  • Implement ongoing education to remain highly effective.

  • Handle community management for clients.

  • Contribute to the progress of the business through special projects or “rocks”. (We run our business using the Entrepreneurial Operating System!)
     

You know you’re qualified if you...

  • Are confident in your ability to write for four similar brands in a unique tone and voice.

  • Have knowledge of Meta ad management, including setting up, running and optimizing conversion campaigns, lead generation campaigns, etc.

  • Are experienced in working with e-commerce brands.

  • Demonstrate creativity and documented immersion in social media. (Provide links to profiles you have managed as examples).

  • Have Reels/TikTok and an overall understanding of social media video creation, publishing and curation.

  • Understand the importance of ‘managing up,’ and have experience managing client relationships to maintain momentum, productivity and efficiency.

  • Have experience sourcing and managing content development and publishing.

  • Are an exceptionally creative person with the ability to define a visual brand strategy, and execute by creating supporting content (graphic, video, written, etc.)

  • Exhibit the ability to jump from the creative side of marketing to the analytical side, able to demonstrate why their ideas are analytically sound.

  • Display in-depth knowledge and understanding of social media platforms, their respective participants (Facebook, Twitter, Instagram, YouTube, Pinterest etc.) and how each platform can be deployed in different scenarios.

  • Practice superior time management.

  • Are a team player with the confidence to take the lead and guide other employees when necessary. (ie: content development, creation and editing of content, and online reputation management).

  • Make evident good technical understanding and can pick up new tools quickly.

  • Demonstrate winning Social Customer Service techniques such as empathy, patience, advocacy and conflict resolution.

  • Possess great ability to identify potential negative or crisis situations and apply conflict resolution principles to mitigate issues.

Pay & Hours:

  • Hours will fluctuate based on the client roster and clients' needs. This position will likely start at 15-20 hours per week and go up to 20-30 hours per week.

  • Clients will be assigned to BEMs based on experience, size, subject matter or relevant special skills. (We do know this BEM will get to work with 4 B2C e-commerce brands that we have cued up to get started!)

  • Client "pulse survey" feedback will be reviewed together in a one-on-one to find opportunities to improve.

  • This position is considered a freelance contractor, so the successful candidate will need to invoice Marr Media Group monthly for hours worked and will be paid in full monthly. As a contractor, you’ll be responsible to claim this as income and file taxes.

  • Yearly bonus awarded based on performance.

  • Commission pay available for new clients.

  • Some travel is required for team and client events.
